JOB SUMMARY:
The Report department supports the internal, ESD, Drives and Engineering departments, producing detailed and informative reports for customers. The Report Writer is responsible for the timely generation of detailed technical reports. The Report Writer’s primary duties include, maintaining the incoming data sheet log files, administering the tracking and status of the reports, drafting the summary and recommendations and compiling a final report and emailing it to the customer.
JOB DESCRIPTION:
- Receive reports from the technicians, verify if there is data and customer letter and log is accordingly.
- Compose summary letters, diagrams and other exhibits as required.
- Print, collate, and bind individual sheets into a finished report as needed
- Electronically distribute finished reports to recipients
- Work daily with each ESD department to get their reports submitted in a timely manner
- Create the Overdue Report List and work with each ESD department
- Respond to all customer inquires
- Expedite reports when requested by a technician, salesperson or customer
- Writes and updates SOPs for the Report Department
- Performs training with all US offices for how to write reports and submit them
- Actively contributes to the department’s business goals and objectives
- Establishes and maintains effective relationships and communication with sources and recipients of information pertaining to reports.
- Identifies and undergoes training to remain current with technology within work specialty.
- Works on special short-term projects as may be occasionally required
- Updates and distributes applicable exception and performance summary reports
- Identifies problem issues and develops solutions to resolve; escalates issues or potential problems in a timely manner
ON CALL RESPONSIBILITIES:
- Answer phone calls for urgent requests or situations outside of regular work hours
- Handle issues that arise unexpectedly by employees and customers
- Provides necessary information, problem assessment, and referral appropriate to caller’s needs
- Willingness to work on short notice and overtime
- Other duties as assigned
- Monday – Friday, 7:00am-4:00pm; travel is not required
- Overtime is required for on call duties
- High School diploma or equivalent is required
- Relevant experience in a managerial role
- An equivalent combination of education and experience may be accepted
Knowledge, Skills and Abilities Requirements
- PC experience in a Microsoft Windows environment with Intermediate proficiency with Word, Excel, and Outlook
- Embraces change and adapts quickly to new or changing priorities
- Strong ability to focus; task-oriented
- Very low incidence of errors in work while maintaining high productivity level
- Learns new skills which are applied to current position
- Punctual and consistent attendance
Physical and Sensory Requirements
- Must be able to sit and enter data for an extended period of time
Working Conditions
- The working environment is a temperature-controlled office environment with workspace located in an office area; periodic, temporary exposure to a shop environment with moderate noise levels
